Book Fair 2018 - Helpers' Meeting 10.30am Saturday 4th November
The 2018 Fair will take place on Thursday 15th and Friday 16th February (from 10am to 8pm) and Saturday 17th February (10am-4pm). The dealers’ preview will be on Wednesday 15th February (6pm to 9pm).
General book sorting begins on Wednesday 7th until Sunday 11th February. Specialist sorting will be on Monday 12th, Tuesday 13th and until 5pm on Wednesday 14th.
The key areas with which we are seeking help are:
delivering advertising flyers door to door in January.
collecting fruit boxes from Sainsbury’s, Asda, Tesco, Lidl or elsewhere and storing them on the stage from December onwards
lending storage space (house/garage)
sorting books at EMC, from the morning of Wednesday 7th to Wednesday 14th
Collecting money from book sales (‘tills’) from Thursday 15th to Saturday 17th.
helping to move books to their sale positions on the Sunday evening (11th)
helping to clear the hall at about 4pm after the sale on the Saturday afternoon (17th) – as much help as possible needed for this.
If you are willing to give even just a one or two hours that would be great and there are plenty of jobs which do not require heavy lifting. So please do come along to see how you can be involved.
FORMAT OF MEETING on 4th November:
The meeting will discuss the following aspects of the 2017 Fair:
With the opening of the Roots Coffee shop we will be moving the catering for the book fair from the Lower Lounge to Room A where we currently have the coffee machines and serving counter for lunches and cakes. This will mean that we will be utilising the Lower Lounge and the Creche Room for the sale of books. We will be discussing the new layout and which sections will be moved to new locations.
As last year additional help is being provided by a number of charities in return for which the fair will make a contribution to that charity. This help is predominantly being used for the general sorting in the Youth Hall from Wednesday 7th to Sunday 11th We will discuss which charities have offered to help and at which sessions and the extra help we will require from EMC members and others.
We will be using a leaflet delivery company to cover about 5,000 houses in an area where we have not traditionally had good coverage by EMC /Scouts deliveries. Last year we delivered to Nork/Great Tattenhams, this year we are thinking of covering East Ewell/ Stoneleigh.
What is not changing – we are still seeking to collect as many books as possible up to and including Sunday 11th. We will not be open to receive books after Sunday 11th. We increased the price of paperbacks to 80p last year and do not propose to make any price changes this year.
All the help we are seeking as set out above (and for which there is greater detail in the attached note).
That we are seeking additional help by asking more people to collect just 50-100 fruit boxes during December and January. We have kept 500 fruit boxes from last year but we still need another 1500. We ran out occasionally last year so extra help in collecting as many of these as possible prior to 10th February would be very welcome.
That we are planning on having a celebratory party after the fair starting at 7pm on Saturday 3thMarch 2018.
